How it Works

The Dynamics of Task Completion Assurance

The Virtual Workspace Managing software TASKPAC specifically combines task action completion management with matching KPI performance controls through two separate modules, the Task Completion Action Manager Module and the KPI Manager Module, resulting in exceptional and collaborative business process management efficiency!

During the user configurable software setup, the pre-identified competitive-edge business elements, the KPI’s and key objectives are set-up into appropriate collaborative, cloud-based Workspaces. The TASKPAC software furthermore tracks all Workspace assigned task actions of all resources to successful conclusion, and the reporting of each resource’s task completion factor. This task completion factor in turn calculates a unique opportunity metric for staff/team performance rewarding.

Where appropriate, tasks actions are specifically linked to pre-developed and regularly updated business processes task checklist. Such task checklists enable staff to view their own progress during task completion, and thereby assuring consistency of business process task output. This checklist function not only assures consistent efficiency but also “on the job” training of new staff/resources while managing business process changes on-the-fly. Task Action Completion metrics as calculated by the TASKPAC software, defines and confirms the organisation’s Task Completion Assurance certification rating!

The collaborative nature of communications during workspace meeting-sessions, facilitates easy co-ordination of assigning multiple tasks per person per process as well as the “softer” management relationships of teambuilding. The TASKPAC software displays task completion Integrity scores on visible user defined KPI dashboards per resource per Workspace.

Task actions assigned, decisions taken and notes recorded during collaborative workspace sessions, adds good governance as another key business function of the TASKPAC software, while ensuring all task actions are justified through pre-determined key objectives/ critical success factors, as defined and approved by management and shareholders.

Key objectives/critical success factors, each with multiple “CSF Issues” further establishes the qualification boundaries for task actions, notes and decisions taken during the collaborative Workspace sessions.

Some more Key Benefits provided by the TASKPAC software includes:

  • Multiple external professionals can be invited to attend and add value during formal and informal collaborative team workspace discussions, resulting in continuous team upskilling and great decisions!
  • The auto-recording of task completion factors per-resource and teams provides efficient and controlled options for effective performance rewarding and acknowledgement of teams and individual team member performance.
  • Business process efficiencies are continuously in the spotlight due to the integration the software achieves by keeping the organisations’ focus and effort of resources on identified key objectives / critical success factors.
  • The independent task action Manager and the KP I Manager software modules, respectively focus and manage the controls for task action completion and business KPI scorekeeping. The KPI module can receive data from external accounting and other systems which specifically accommodates the ability to utilise the well-known “Balanced Scorecard” concepts and principles, as one of the KPI Reporting options. The TASKPAC software also has a fully integrated bi-directional, MS Outlook task Manager APP.

The first commercial version of our virtual Workspace Managing Task Action Software – TASKPAC has now been released!

The software is a Virtual Workspace Managing Software application and the development is managed through a successful joint venture between One Workspace Pty Ltd and the state of the art, cloud based software developing company.

Development tools include Angular JS by Google, KendoUI by Telerik, ASP.NET MVC by Microsoft Entity Framework by Microsoft, MS SQL by Microsoft with the main languages being C# and JavaScript.

The Taskpac software” toolbox” provides a user configurable and collaborative, cloud based, Virtual Workspace meeting type Business Process and Task Management application, and boasts the first ”Task Completion Integrity certification software” which is combined with the well-known “Balanced Scorecard” KPI functionality reporting engine!

Output metrics from the software modules include measurable Task completion Integrity Assurance managed by our International Management Task Action Completion Certification standard (IMTACC)

The Collaborative “cloud based” Workspace Meeting Types consists of smart independent user configurable virtual workspace meeting views for individually structured and organised recordings of Notes made, Decisions taken, KPI’s logged, and To Do Task Actions agreed to.

All the software Task Actions accommodate multiple document attachments and other formal business process sub-task check-lists. The Software is the ideal professional built-in business processes toolbox for the “upgrading-handholding” the complete management function!

Collaborative Workspace Meeting Types can therefore be selectively configured (set-up/fitted out) from within the software to accommodate management and non-management task-actions in Project as well as in Business Process environments.

Typical examples of collaborative Workspace meetings range from informal catch-ups meeting types between any number of persons to very formal Shareholder and complex Project and Manufacturing planning meetings.

The main objective however for the virtual Workspace Managing software is simply to provide tools for easily creating, reviewing and following up on outstanding to-do task actions, per resource per Workspace Instance, while simultaneously recording new collaborative Notes, Decisions and Task actions agreed to.

At every virtual Collaborative Workspace meeting, relevant business KPI’s of all resources are individually displayed for reviewing and/or driving any required corrective KPI actions. The detail of each recorded task action includes an estimated completion date as well as the expected cost-to-complete amount per task per resource. Following the well-known Balanced Scorecard principles!

Such information then provides an option for time-sheet committed workload and management required reports/dashboards.

Typical resource information elements include People, Machines, Teams, Divisions, Clients, Suppliers, and sub-Contractors, Project phases, contained in user configurable Workspaces and Workspace Task Groups and Task Actions together with multiple external supporting documents!
